Streamline shared and internal comments/notes

We’ve combined the Internal notes and Comments sections into a single, streamlined comment section. This change clarifies the distinction between internal notes and shared comments, preventing accidental client tagging in internal discussions and simplifying your workflow by consolidating all comments in one place.

In this article:

Accessing Comments

- In the Planner module, view post details to find the unified comment section.

- Use the toggle option to switch between shared comments and internal notes.

Internal Notes

  • You can enable the Internal Note toggle to create comments visible only to internal team members.
  • Internal Notes are highlighted with a yellow border.

  • Tagging: Only internal team members can be tagged. Clients will not appear in this list.

  • Editing: You can edit or delete internal notes, including updates to content, media files, emojis, and tags.

  • Only the owner of the comment can edit or delete his comment
  • The comment done through a shareable link cannot be edited or deleted.

Shared Comments

  • Comments added without enabling the Internal Note toggle will be visible to all users, including clients.

Adding Comments While Composing a Post

While composing a post in the Composer, you can add comments directly within the post-creation interface.

  1. Go to Compose -> Social Post
  2. In the right panel, click the comments icon. Use the toggle to specify whether the comment is an internal note or a shared comment.

Access for different users

  • For Admin, Collaborator, or Approver Users:
    • Navigate to the Planner module, select a post, and use the comment section for input.
    • Tagging: The tag list includes all users; use the search bar to find specific users.

  • For Guest Users:
    • Guest users can view and comment on posts via a link using the blue-bordered comment box.
    • Guest user comments have a blue border.

Important:

  • Comments are displayed chronologically. Internal Notes are only visible to internal team members.
  • If a client is tagged in a comment and later converted to an Internal note, the tag will be removed.

FAQs

Q1. Who can see my Internal notes?

A: Internal notes are only visible to internal team members, and clients cannot view or interact with internal notes.

Q2. Why can't I tag a client in my comment?

A: If you have the "Internal Note" toggle enabled, you won’t be able to tag clients, as internal notes are restricted to internal team members only. Disable the toggle if you intend to make a shared comment where client tagging is allowed.

Q3. What happens if multiple team members edit the same comment?

A: Only the original author of the comment can edit it. If others need to make changes, they must post a new comment or request the original author to make the necessary edits. This prevents confusion and ensures that comment ownership is clear.

Q4. If I share a draft post and someone comments through the shareable link, will those comments be visible when I edit the post again?

A: Yes, any comments added through the shareable link will be displayed when you open and edit the draft post again. These comments will appear in the unified comment section, following the same rules as other comments.
